Dictating email

Email is the writing most people do most of, and the writing they most resent. It is the obvious thing to hand to your voice.

The short answer

Voz types into whatever compose window has focus — Gmail in a browser, Apple Mail, Outlook — because it inserts text the way a keyboard does.

There is no extension to install and no mail provider to connect. Voz never touches your mail; macOS delivers the text as typing.

Setting it up

  • Install Voz and grant microphone and accessibility permission when macOS asks.
  • Open a compose window and click into the body.
  • Hold your push-to-talk key, speak, release.
  • Read it before sending. Voz will not press send, deliberately.

Dictated email reads differently

This is the one place worth a warning. Speech produces longer sentences, more hedging and a looser register than typing does. In Slack that reads as human. In an email to a client it can read as rambling.

The habit that fixes it: dictate the whole message, then cut it by a third before sending. Getting the thoughts down is the slow part, and speech is genuinely faster at it — editing is quick once something exists.

Worth knowing

  • Dictate the body, type the recipients and subject. Addresses are the thing speech gets wrong most.
  • Add clients' and colleagues' names to custom vocabulary so they are spelled correctly.
  • Say punctuation by name where it matters — "comma", "period", "question mark".
  • Nothing is uploaded, which matters when the email concerns a contract, a patient, or an employee.
